Most small businesses lose enquiries not because of price but because replies are slow and follow-ups never happen. A simple system fixes it: one place for every enquiry, a fast first reply with a template, follow-ups on a fixed schedule, and one tracker showing who is waiting.
Why WhatsApp is the real front desk
In India, customers often prefer to message rather than fill forms or email. Your website, Google Business Profile and ads should therefore all lead to a WhatsApp conversation, with the product or room already mentioned in the pre-filled message.
A five-step system
- Capture every enquiry in one place. A shared sheet or CRM row with name, number, source, what they asked and the date.
- Reply in minutes. Use saved quick replies for the common questions: prices, location, timings, documents needed. Personalise the first line.
- Follow up on a schedule. A common pattern is the same day, day 1, day 3 and day 7. Stop after that unless they respond.
- Tag the outcome. Won, lost, waiting or not now. Record the reason for lost deals, because it tells you what to fix.
- Review weekly. Who is still waiting? Which source brings the best leads?
Do it without spamming
- WhatsApp's business policies expect customers to have opted in before you send marketing or promotional messages through its Business platform. Do not message people who did not ask to hear from you.
- Keep follow-ups helpful: answer a question, offer a visit, share a relevant photo.
- Always give an easy way to say "no thanks".
What software can add
A CRM can show every guest or lead in one list, remind staff who to follow up with, and group customers into segments such as win-back or VIP. In the CRM we built for a five-hotel group, campaigns are prepared for a segment and staff send them from an assisted WhatsApp list. Fully automatic sending through the WhatsApp Business API is on our roadmap and is not live yet. A WhatsApp booking assistant exists as a tested prototype and needs a Meta access token to go live.

Frequently asked questions
How fast should I reply to a WhatsApp enquiry?
As fast as you can, ideally within minutes during business hours. Speed is one of the few things buyers can easily compare.
Can I automate WhatsApp replies?
Yes, through the WhatsApp Business platform, with the customer's opt-in and approved message templates for outbound messages. Check Meta's current policy before you start.
